Missed calls after hours? How online booking and an auto-reply can catch them for you

Most small business owners I speak to know the feeling. You finish with a client, check your phone, and there are two missed calls and a message that just says "Are you free next week?" By the time you ring back, the person has found someone else, or you play phone tag for three days.

It is not that you are doing anything wrong. You simply cannot answer the phone while you are cutting hair, fixing a boiler, sitting with a client or doing the books. And many people now look for help in the evening, once their own working day is over, which is exactly when you are trying to switch off.

The good news is that you do not need to be available every hour of the day. You need two simple things working quietly in the background: a way for people to book themselves in, and a polite reply that lets them know you have heard them.

Why out-of-hours enquiries slip away

When someone gets in touch and hears nothing, they tend to assume one of three things: you are too busy, you are no longer trading, or you are not interested. None of these is true, but silence does not explain itself. A quick, friendly acknowledgement and a clear next step make the difference between a lost enquiry and a booked appointment.

Step one: set up a simple online booking page

An online booking page lets people see when you are free and choose a time that suits them, without needing to reach you first. Several tools offer a free plan that is perfectly good for a small business. Google Calendar has a built-in appointment schedule feature, and Cal.com and Calendly both have free versions too.

To get started:

  • Choose one tool and sign up with the email address you already use for the business.
  • Set your working hours so people can only book when you are genuinely available. Leave gaps for travel, lunch and paperwork.
  • Create one or two appointment types to begin with, such as "Initial consultation, 30 minutes" or "Quote visit". You can add more later.
  • Ask only for what you need: name, phone number, email, and perhaps a short note about what they are looking for.
  • Turn on reminder emails so clients receive a nudge the day before. This alone can cut down on no-shows.
  • Test it yourself by booking a pretend appointment, then cancel it.

Once it works, you will have a link you can share anywhere.

Step two: add a friendly auto-reply

An auto-reply is a short message that goes out automatically when someone emails or messages you. It does not need to be clever. It just needs to reassure them and point them somewhere useful.

Here is a simple example you can adapt:

Thank you for getting in touch. I am with clients during the day, so I may not be able to reply straight away. I will get back to you within one working day. If you would like to book an appointment now, you can choose a time here: [your booking link].

You can set this up in a few places:

  • Email: Gmail and Outlook both have a vacation responder or automatic reply setting. You can leave it switched on all the time with the wording above.
  • WhatsApp Business: the free app has an "Away message" setting, which you can schedule for outside your opening hours, and a "Greeting message" for first-time contacts.
  • Voicemail: record a short greeting that mentions your booking link is on your website, and say when you will call back.
  • Facebook and Instagram: the business inbox lets you set an instant reply for new messages.

Step three: put your booking link everywhere people find you

A booking page only helps if people can see it. Add the link to:

  • your website, ideally as a clear button near the top of the home page
  • your Google Business Profile, which has a space for a booking or appointment link
  • your email signature
  • your social media profiles
  • your auto-replies, as above

Step four: keep it tidy

Set aside ten minutes once a week to check your booking calendar matches your real diary, and that your auto-reply still says the right thing. If you are going on holiday, update both before you leave. Small habits like this keep everything running smoothly without you thinking about it day to day.

A gentle word of reassurance

If this sounds like a lot, it is far less than it seems. Most people can get a basic booking page and auto-reply working in an afternoon, and once it is done, it carries on working while you get on with your day, or have a well-earned evening off.
